hospitality industry supply warehouse was drowning in paperwork — roughly 100 orders per day, plus years of archived documents waiting to be digitised. Here is how Kite Union built an automated scanning and recognition system, powered by Aspose technologies, to bring that process fully under control.
Kite Union (Australia) partners with clients to solve industry-specific challenges through custom technical solutions — from initial scoping through to deployment and beyond.
Our client operated a hospitality supply warehouse processing around 100 orders per day. Every order generated paperwork that had to be sorted, stored and made accessible to both on-site and remote team members. On top of the daily volume, a significant backlog of archived paper documents needed digitising — a task that was both time-consuming and error-prone when handled manually.
The goal was straightforward: a reliable digital solution that scans, recognises and stores documents automatically, freeing staff to focus on their actual work rather than managing paper.
After an initial discovery phase, we decided to build a purpose-built application for scanning, OCR recognition and automated document storage. The critical decision was selecting the right Optical Character Recognition engine — one that was powerful, robust, easy to integrate and within budget.
We evaluated five OCR systems against a controlled test suite. Each was required to perform the following tasks:
We scored each system across four criteria:
The results pointed clearly to Aspose.OCR as the best fit. We paired it with Aspose.PDF and Aspose.Imaging to handle document assembly and image pre-processing. Where recognition quality depended on scan conditions, we addressed this by producing a technical guide specifying the scanner settings required to achieve consistent results.
The Processed Files Screen lists all scanned copies that have passed through the Aspose.OCR recognition pipeline. Any copy containing recognition errors is automatically highlighted and surfaced at the top of the list, making exceptions easy to spot and action.

The Edit Scan Copy Screen is accessible via the context menu on any listed document. It allows users to review and correct recognised fields directly within the application before the record is committed to storage.

The project marked a genuine step-change in how the client manages documents. All incoming picking slips are now scanned, indexed and stored securely in a central repository — instantly searchable by on-site and remote staff alike. The same pipeline also processed more than three years of archived documents, clearing the backlog that had previously been an ongoing operational burden.
Tangible benefits included fewer data-entry errors, reduced time spent on manual filing, lower administrative overhead, improved data security and a measurable lift in overall team productivity. Aspose.OCR was the cornerstone that made this outcome possible.
